What are key depositories?

Key depositories are mechanical or electromechanical devices, whose task is to support or in general the possibility of efficient management of keys in the facility. Key depositories are advanced devices with a relatively simple design idea.

How do key depositories work?

The operation of key depositories is based on the collection and release of keys after successful identification with a proximity card or PIN. The door of the depository opens, and then we can retrieve the correct key, or pass it if we have access to predetermined keys. We pass the keys in a strictly defined depository slot.

What's more, there's no mistaking depositing a key, since it's usually assigned to a specific slot. Every time we retrieve or pass a key, an automatic report is generated, which includes such information as which key the user retrieved or passed and at what time.

Key depositories undoubtedly meet the expectations of maximizing security. This is because the depositories operate only after the user enters the appropriate code, biometric characteristics or card authorization - keys can only be retrieved if the user enters the appropriate PIN and/or presents the card with his/her data for authorization, so they will never fall into the wrong hands.

Deposit the keys in the strictly defined slot of the depository. It is not possible to make a mistake when depositing a key, as it has been assigned to a specific slot, although this is not necessarily a condition. Each time a key is retrieved or deposited, an automatic report is generated that includes such information as which key the user retrieved or deposited, what key and at what time.

What do key depositories look like?

Modern key depositories resemble a small cabinet with a display, which contains a lot of hooks or compartments dedicated just to keys. Key depositories are designed to be easily installed in publicly accessible spaces such as reception areas, lobbies, corridors, production halls, etc. - without the need for round-the-clock security, replaced by an alarm system connected to the system.

Basic functions of key depositories:

Key depositories perform several functions, but primarily they automate, modernize, simplify, relieve the burden, document, supervise, report, facilitate and manage the circulation of our keys around the clock. In this way, we can completely eliminate errors caused by the so-called human factor and efficiently manage keys and their circulation. Key depositories allow us to avoid cases of access to keys by unauthorized persons.

Advantages of key depositories

Advantages of key depositories include:

- automation and reduction of costs associated with the need to manage keys,

- clear definition of responsibilities,

- multi-level, reliable identification procedure (e.g. PIN + cards) to provide additional protection against unauthorized access,

- high degree of configuration (ability to customize the access panel according to the type of user),

- elimination of the "human error" factor - reliability and professionalism,

- control and recording of dates, times and recipients and depositors of keys, and a full history of all events,

- ability to add users and permissions remotely,

- integration with other systems,

- monitoring of events and system monitoring processes,

- automatic keeping of statistics and preparation of reports.

Where are key depositories used?

Key depositories are used wherever automation of key management is useful, so mainly in larger companies, institutions, enterprises or factories. Various types of public-use institutions can thus function more efficiently, and greater control increases the level of security.

Places where key depositories are used include:

  • Public Use Institutions and all kinds of Government Institutions,
  • Banks and insurance companies,
  • Military Units,
  • Convention centers,
  • Hotels, restaurants, resorts,
  • Office buildings, factories,
  • Educational institutions,
  • Hospitals,
  • Casinos, gaming halls and recreation centers,
  • Command and control units (airport, server rooms, etc...).
  • Wellness spas and sports centers.
